Consider/Approve Bid for System Transportation Van


Background Information:

In addition to advertising, we solicited bids for the purchase of a 2011 system transportation van (specifications attached). Mr. Larry Parks hand delivered the request for bids to all Obion County automobile dealerships. We received bids from Union City Ford, Herman Jenkins Motors, and Kenton Chevrolet. The low bid was submitted by Union City Ford in the amount of $22,564.46.

During the budget planning process, the transportation supervisor brought to my attention that the system was spending a significant amount of funds on diesel when small numbers of students were transported to events on buses and not enough cars were available at the time. In addition, when staff members went to conferences, many times more than one vehicle had to be utilized due to the number of teachers attending. During our budget meetings, we agreed that if economy somewhat stabilized, we would solicit bids and ask the Board for approval to purchase a 12-passenger van. The van will be utilized when more than three (3) and twelve (12) or less students or school personnel need transporting to an event or conference. Funds for the purchase of the 12-passenger van are budgeted within the General Purpose School Fund for the 2010 – 2011 fiscal year as approved by the Board. The acceptance/rejection of any and all bids is within the discretion of the Board.

Staff Recommendation:

I recommend approval of the low bid as submitted by Union City Ford in the amount of $22,564.46..
